2. Scope of This Policy

This Privacy Policy explains how we collect, use, share and protect personal data when you visit our website, contact us, register for the competition, audition or masterclass, pay registration fees, or participate in Musicum Laude events.

3. Personal Data We Process

  • Registration and identity information: name, contact details, age or date of birth, country and city of residence, voice type, selected category, and other information supplied in the registration form.
  • Artistic application materials: artistic CV, education, professional experience, repertoire, portrait photograph, and links to or copies of video and audio recordings.
  • Competition information: application status, jury assessments and feedback, scores, results, and attendance information.
  • Payments: purchased registration options, amount, currency, transaction reference and payment status. Card details are handled by our payment provider, Stripe; we do not intend to store full card numbers or security codes on our website.
  • Communications: messages and correspondence with us.
  • Website data: technical logs and information collected through cookies or similar technologies, as described in our Cookie Policy.
  • Event media: photographs, video and audio recordings, interviews, and information identifying performers in those materials.

4. Purposes and Legal Bases

  • Registration, eligibility checks, administration, scheduling and communication: performance of a contract or steps taken at your request before entering a contract (GDPR Article 6(1)(b)).
  • Payment processing, accounting and legal record-keeping: performance of a contract and compliance with legal obligations (Articles 6(1)(b) and 6(1)(c)).
  • Judging, preselection, feedback and announcing competition results: performance of the participation agreement and, where appropriate, our legitimate interests in running a transparent competition (Articles 6(1)(b) and 6(1)(f)).
  • Website security, abuse prevention and handling enquiries: our legitimate interests or legal obligations, as applicable (Articles 6(1)(f) and 6(1)(c)).
  • Optional marketing, non-essential cookies and certain promotional uses of identifiable recordings: consent where required (Article 6(1)(a)).
  • Documentation and reporting on the public event: legitimate interests where a balancing assessment supports the processing, or consent where required by applicable law.

Where processing is based on consent, you may withdraw it at any time without affecting processing carried out before withdrawal. Where we rely on legitimate interests, you may object as described below.

5. Registration Materials and Video Links

Applicants may submit links to recordings hosted by third-party platforms, such as YouTube, Vimeo or Google Drive. Those platforms apply their own privacy terms. Please provide links you are authorized to share and ensure that the jury can access the recordings for evaluation. We use submitted materials to review applications, determine eligibility and communicate competition decisions.

6. Photographs, Audio, Video and Interviews

Musicum Laude events may be photographed, filmed or recorded. These materials may include performances, rehearsals, interviews and other event activities. The organizer intends to use selected materials to document, report on and promote the competition, including through its website, social media, YouTube, printed publications, press, radio, television, podcasts and advertising.

The competition regulations also describe intended uses of participants’ names, images, voices and performances by the organizer and authorized partners, potentially without additional payment. Such provisions are subject to applicable data protection, personality, performer and intellectual-property laws. They do not remove rights granted by law, and the organizer will not treat registration alone as unlimited, irrevocable GDPR consent for every promotional use.

Where consent is required, we will request it separately and explain the relevant uses. Where another legal basis applies, we will explain that basis and respect applicable objection and other rights. Withdrawal or objection may not remove materials already lawfully distributed to independent third parties, but we will assess requests and take reasonable steps where required by law.

7. Publication of Participant Information and Results

For competition administration and public reporting, we may publish participants’ names, age or age category, city and country of residence, voice type, competition category, selection status and achieved results. We will limit publication to information that is necessary and proportionate for the stated purpose and applicable legal basis.

8. Payments Through Stripe

Online registration fees are processed using Stripe. Stripe may process payment details, billing information, transaction data and fraud-prevention information under its applicable privacy notices. We receive information needed to confirm and administer payments, but not complete card details. More information is available at stripe.com/privacy.

9. Sharing Personal Data

Personal data may be accessed, as necessary, by authorized organizers, jury members, event staff, technical service providers, hosting providers, payment processors and professional advisers. Selected participant information and event media may be shared with media partners and the public as described above. We require service providers acting on our behalf to protect personal data and process it only under appropriate instructions.

10. International Data Transfers

Some providers or recipients may process information outside the European Economic Area. Where GDPR transfer rules apply, we will use an appropriate legal transfer mechanism, such as an adequacy decision or the European Commission’s Standard Contractual Clauses, together with any required safeguards.

11. Data Retention

We retain personal data only for as long as necessary for the purposes described in this policy, including competition administration, financial and legal record-keeping, dispute handling and justified archival purposes. Payment and accounting records may be kept for periods required by law. Public event records and media may be retained longer where justified by their documented purpose and lawful basis. Specific retention periods or criteria should be confirmed in the organizer’s internal retention schedule.

12. Cookies and Website Technologies

Our website may use essential cookies for operation and security and, subject to applicable consent requirements, optional analytics or marketing technologies. Please refer to our separate Cookie Policy and cookie settings for details and available choices.

13. Your Data Protection Rights

Subject to the conditions and exceptions in applicable law, you may request access to, correction or deletion of your personal data; restriction of processing; data portability; and objection to processing based on legitimate interests. You may withdraw consent at any time where consent is the legal basis. You also have the right to lodge a complaint with a competent supervisory authority, including the Hungarian National Authority for Data Protection and Freedom of Information (NAIH): www.naih.hu.

To exercise your rights, contact musicum.laude@partium.ro. We may need to verify your identity before responding.

14. Security

We use appropriate technical and organizational measures designed to protect personal data against unauthorized access, loss, alteration and disclosure. No internet-based service can guarantee absolute security.

15. Children’s Privacy

Musicum Laude applications described in the competition rules are intended for adults aged 18 or over. The website is not intended to solicit registration data from children.
